How to Manage Trade Customers at Your Garage (Without the Hassle)

Trade and fleet customers are among the most valuable accounts a garage can hold. They bring regular, predictable volume — three vehicles a month from a local business is worth more to your cashflow than three individual customers you may never see again. But trade accounts also create a different set of problems: multiple vehicles, batch invoicing, account terms, and customers who expect more from you because they're spending more with you.

What makes trade customers different

A private customer brings in one car, pays at collection, and that's the transaction complete. A trade customer — a local business with a small fleet, a taxi operator, a delivery company — works differently:

  • They have multiple vehicles, often with different drivers, which complicates communication and authorisation
  • They typically want to be invoiced monthly rather than paying per job
  • They may have agreed pricing that differs from your standard rates
  • They expect a clear record of all work done across all their vehicles
  • They need to be able to query an invoice line without the whole account grinding to a halt

None of this is unmanageable — but it does mean that handling trade customers the same way you handle private customers leads to errors, missed invoices, and frustrated accounts teams on the other end of the phone.

The invoicing challenge for trade accounts

The most common problem with trade customers is invoicing. If you're raising an invoice per job, a trade customer with five vehicles in your garage in a month ends up with five separate invoices — each with different dates, different amounts, potentially different VAT treatments. Their accounts team has to reconcile all of them individually, and the chance of a dispute or a missed payment goes up with every separate document.

Monthly batch invoicing solves this: one invoice at the end of each month covering all work done across all vehicles. It's cleaner for the customer and reduces your chasing burden. But producing it manually — pulling together every job across multiple vehicles and compiling them into a single document — takes time and is prone to missed items.

A self-service portal for trade accounts isn't a luxury feature; it's a practical tool for managing high-volume accounts without proportionally increasing your admin time.

A dedicated trade login also means the customer can raise a query against a specific invoice line themselves, rather than calling and waiting for someone to pull up the records.

Pricing trade work differently

Most garages offer trade customers a discount — whether that's a fixed reduction on parts, a lower labour rate, or both. The problem comes when that pricing exists only in someone's head or in a note on the customer record. If the person who normally handles that account is off sick, the vehicle gets invoiced at the wrong rate. The customer complains. You issue a credit note. Everyone wastes time.

Per-account pricing that lives in the system — applied automatically to any job raised against that account — removes that risk. The rate is set once, and every invoice that follows is correct without anyone having to remember.

How to grow your trade base

Trade customers rarely come through Google. They come through reputation, word of mouth between business owners, and direct outreach. The most reliable way to grow your trade base is to serve your existing trade customers so well that they mention you to other local businesses.

That means fast turnaround, accurate invoicing, clear communication, and the ability to handle their fleet as a fleet — not as a collection of unrelated jobs. When a trade customer knows they can book any vehicle in without explaining who they are, and that the invoice at the end of the month will be right first time, they don't look elsewhere.
