How Automated MOT Reminders Keep Customers Coming Back

Most garages lose repeat MOT customers not because of bad work — but because they never reach out between visits. A customer gets their MOT done in April, drives away happy, and a year later books somewhere else simply because another garage sent them a reminder first. The MOT itself is an annual recurring event. Whether your garage captures that repeat business or loses it often comes down to one thing: whether you have a MOT reminder system in place.

Why most garages lose repeat MOT customers

The average independent garage retains fewer than half of its MOT customers year on year. That's not a service quality problem — most garages do excellent work. It's a communication problem. When a customer leaves your forecourt, they have no particular reason to think of you in eleven months' time unless you give them one.

Customers don't track their own MOT expiry dates. They rely on whoever contacts them first. If that's a competitor garage that sends a text two weeks before the due date, that's where the booking goes. If it's you, it stays with you.

The garages that consistently retain MOT customers aren't doing anything magical. They're just sending reminders — reliably, at the right time, with the right message.

What an automated MOT reminder system does

A MOT reminder system automatically contacts customers ahead of their MOT expiry date without you having to think about it. At its most basic, that means storing the expiry date against the vehicle record and triggering a message at a set interval before it falls due — typically two to four weeks out.

A good system does more than send a single text. It:

  • Pulls MOT expiry data automatically via DVLA vehicle lookup, so you're not relying on customers to tell you the date
  • Sends reminders via SMS or email (or both) at the optimal time
  • Includes a direct booking link so the customer can rebook in seconds without calling
  • Tracks which reminders have been sent and whether they resulted in a booking
  • Follows up if no booking is made after the first reminder

Garagess includes an automated MOT reminder feature that handles all of this. Vehicle lookup is built in, so the correct expiry date is stored the moment a vehicle is added to the system — no manual entry required. See the full feature set here.

How to send MOT reminders that actually work

Timing matters more than most garages realise. Too early and the customer isn't thinking about it yet. Too late and they've already booked elsewhere. The sweet spot is typically 21 days before expiry — far enough out that they have time to choose you, close enough that it's on their radar.

Channel matters too. SMS gets read. Email gets ignored unless it's well-written. The best approach is to send an SMS first, with a follow-up email a few days later if no booking has been confirmed. That combination covers customers who prefer one channel over the other.

Personalisation lifts response rates significantly. A reminder addressed to the customer by name, referencing their specific vehicle registration, performs considerably better than a generic broadcast message. This is something automated systems handle well — they have the customer and vehicle data already, so personalisation costs nothing.

What to say in a MOT reminder message

Keep it short. The goal is to prompt a booking, not to write a marketing email. A strong MOT reminder message includes:

  • The customer's name
  • The vehicle registration
  • The MOT expiry date
  • A clear prompt to book
  • A direct booking link or a phone number

For example: "Hi Sarah, your VW Golf (AB21 XYZ) MOT is due on 14 July. Book your MOT at [garage name]: [booking link]. Reply STOP to opt out."

That's it. Anything longer reduces response rates. The message doesn't need to sell your garage — the customer has already used you. It just needs to prompt them to act.

The difference between manual and automated reminders

Some garages try to manage MOT reminders manually — a member of staff goes through the job history at the start of each week and calls or texts customers whose MOTs are coming up. This works, but it has serious limitations.

Manual processes depend on someone having the time to do them consistently. When the garage is busy, reminders slip. When a staff member is off, they don't happen at all. There's also no visibility into which customers have been contacted, whether they responded, or what the conversion rate is.

Automated reminders go out on schedule regardless of how busy the garage is. They're consistent, measurable, and don't require any ongoing effort once they're set up. For a garage doing 20 MOTs a week, that's 1,000 potential repeat bookings per year that get a timely, personalised message without anyone having to lift a finger.
